Application: Newsletter Assistant

Operator: Ondrej

Last updated: 26. 10. 2026

Purpose

Newsletter Assistant is a private, personal-use application. It processes newsletters from the operator’s authorized Gmail account, generates summaries, and delivers them to a designated Discord channel.

Data accessed

With authorization, the application accesses Gmail message identifiers, headers, sender information, dates, labels, and message bodies. Messages are selected using configured newsletter labels and processing rules.

The granted Gmail permissions may allow broader mailbox access, but the application’s intended use is limited to the authorized newsletter workflow.

How data is used

Data is used to read newsletters, identify relevant tools and news, generate summaries, avoid duplicate processing, and diagnose operational failures.

When authorized, the application modifies message labels to mark processed newsletters as read and archive them after successful summary delivery. Archiving removes messages from the inbox; it does not delete them.

AI processing and sharing

Newsletter content and relevant metadata are processed through Hermes Agent and may be sent to OpenAI to generate summaries. Original email content may contain personal information or personalized links.

Selected summaries and source links are sent to Discord and are visible to people with access to the designated channel. The workflow is configured to avoid including private mailbox details and personalized tracking or unsubscribe links in those summaries.

Public source URLs and search queries may be submitted to OpenAI to verify articles, products, and factual claims.

These external services process and retain submitted data according to their applicable terms, privacy policies, and account settings.

The operator does not sell Google user data, use it for advertising, or use it to develop or train generalized AI or machine-learning models.

Storage and security

Retrieved messages, summaries, processing records, and diagnostic information may be stored on the operator’s computer, including in local application history and logs.

OAuth credentials are stored using the configured CLI credential storage mechanism. They are not intentionally included in summaries or shared with Discord.

Access to local data is restricted through operating-system account controls and file permissions. No storage or transmission method can guarantee absolute security.

Retention and deletion

Local cached messages and processing records are retained until the operator deletes them. Automatic deletion after a fixed retention period is not currently implemented.

The operator can delete local application data and Discord posts. Copies held by external providers may remain subject to those providers’ retention policies.

Revoking access prevents future authorized access but does not automatically delete previously stored data.

Revoking access

Google account access can be revoked at any time through Google Account third-party connections . Local credentials can also be removed from the CLI’s credential storage.

Google API data policy

Newsletter Assistant’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy , including its Limited Use requirements.

Changes and contact

This policy will be updated when the application’s data practices change.
